Q: What is EMTREE?
A:
EMTREE: The Life Science Thesaurus, is one of the most comprehensive and sophisticated biomedical and drug thesauri available today. First established in 1974, EMTREE continues to evolve to accommodate emerging fields, biomedical breakthroughs, new drugs and more. Reflecting Elsevier’s ongoing commitment to thesaurus maintenance and development, EMTREE currently contains more than 50,000 drug, biomedical and biological terms (preferred terms), more than 210,000 synonyms. It incorporates MeSH terms used by the National Library of Medicine, as well as almost 20,000 CAS registry numbers assigned by the Chemical Abstracts Service. Each year many hundreds of new terms are added.

Q: What happens to the subheadings of MEDLINE?
A:
All MeSH terms, including the subheadings, have been converted to EMTREE terms.

Q: Can I search EMBASE.com using MeSH terms?
A:
Yes, All MeSH terms are included in EMTREE (some of them are of course synonymous to EMTREE preferred terms). You can therefore use easier map searches using any MeSH terms; and retrieve both EMBASE and unique MEDLINE records.

Q: What happens to MEDLINE Index terms in the unique MEDLINE records included in EMBASE.com
A:
They are converted to EMTREE index terms. This is possible, because all MeSH terms are included in EMTREE (sometimes as synonyms).

Q: Can I use MEDLINE subheadings in EMBASE.com?
A:
MEDLINE subheadings used for indexing unique MEDLINE records are converted either to EMBASE drug or disease links (when corresponding links are available) or to EMTREE Index terms.

Q: Can I e-mail my search results to colleagues?
A:
Yes, you can. You can e-mail results, as Bibliographic citation, to up to an unlimited amount of e-mail addresses. However, to view the abstract your colleagues will need a subscription to EMBASE.com.

Q: How often are E-mail alerts distributed?
A
: E-mail alerts are sent out according to the selected frequency option during set up. The following options are available: every day, every week, every two weeks, every month, every two months, every three months, every six months and every year. Daily e-mail alerts notify recipients only when there are newly loaded documents that match the query of the alert. For other frequency options the recipient is notified even when no new documents are found. Daily updates take place on weekdays (Monday to Friday). Weekly alerts are delivered on Saturdays.

Q: I used to receive my e-mail alerts at the beginning of the week. Has this recently changed?
A:
Yes, the EMBASE.com weekly e-mail Alerts are now being sent on Saturdays. You may change the day/frequency of your current e-mail alert by logging onto EMBASE.com, viewing the details and clicking on edit.

Q: What alert formats are available?
A:
Recipients can receive EMBASE.com e-mail alerts in html or plain text. When setting up e-mail alerts, users may also choose their preferred content format. 'Citations only' alert format contains the bibliographic information of the article. When this option is selected, the first 500 records that match the query of the alert are delivered by e-mail. To avoid heavy e-mail load, when choosing Citation and Abstract format, the first 25 records are delivered by e-mail. To view any additional records please follow the link from the alert to the EMBASE.com Search Results page. On this page you will you will be able to to retrieve additional record information, drug and disease subheadings, links to full text and much more.

Q: I have not yet received the e-mail alert which I created, can you help?
A:
You may want to check your spam filter. The sender of EMBASE.com e-mail alerts is embase@elsevier.com so please add this address to your contact list to ensure prompt delivery of the alerts. Please note that the alerts are sent during working hours (GMT), therefore, depending on where you are located, you may need to wait until the next daily delivery of alerts is completed. For additional assistance, contact your regional e-Helpdesk team.

Q: Who can receive EMBASE.com e-mail alerts?
A:
Only EMBASE.com users can set up e-mail alerts. However, users might want to alert their peers to newly added records and add multiple e-mail addresses to the list of recipients. When inserting multiple e-mail addresses a semicolon (;) is used to separate addresses. This information can be edited at any time in E-mail Alerts page in EMBASE.com.

Q: How can I stop receiving EMBASE.com e-mail alerts?
A:
Recipients can stop delivery of alerts in two ways:
a) from the received e-mail alert - disable alerts by following the link provided in the e-mail without having to log in EMBASE.com. Select and confirm which e-mail address to disable.
b) from e-mail alert page after log in - users can edit, delete or turn off their alerts. If alerts are turned off, alerts are disabled temporarily but not deleted.

You can download your search results into EndNote, ProCite or Reference Manager tools. Additionally, plain text (ascii) and xls (fields by rows or by column) formats are also available.

User access

Q: Is access to EMBASE.com set up on the basis of IP address range or on the basis of username and password?
A:
It can be set up as both. Most customers have access through an IP range, which means that anyone who accesses the EMBASE.com website from within their organization's IP range will get access (whether they have set up their individual user account or not). EMBASE.com pricing is based on the potential number of users within the subscribing Institution, however, there is no limit to the number of people who can access EMBASE.com from within an IP address range once access has been set up. A customer can also choose to have access based on a fixed number of accounts (combinations of usernames, passwords and the subscription key).

Q: Do individual users need to set up individual accounts?
A:
No, they do not need to set up individual accounts. They can use EMBASE.com as long as they are accessing it within the specified IP range of their organization or institute. BUT if an individual user wants to save searches or set up e-mail alerts, then the system will ask them to enter their account details, this is an individual username and password. These individual details are necessary because otherwise the system has no way of knowing who is using the system and therefore which saved searches and e-mail alerts should be presented in a session.

Q: How easy is it to set up an individual user account?
A:
Very easy, the user simply fills in the registration form, which is easily accessed from any EMBASE.com page. However they will NOT have access to EMBASE.com outside the IP range of the organisation, if they do not include their subscription key in the registration form. If they add a subscription key to their account details they will be able to access EMBASE.com from outside their organisation's IP range.

Q: A user already has an individual user account can (s)he just add the subscription key?
A:
Yes this is no problem just click on "New Key" in the top right-hand corner of every EMBASE.com page.

Q:Is the subscription key really necessary?
A:
If a user wants to look at EMBASE.com when (s)he is outside the subscribing organization's IP address (for instance working from home) then (s)he will need to add a subscription key to their individual user account. An individual user account key is only valid WITHOUT the subscription key when one is within the IP range but if the subscription key is added, one can gain access to EMBASE.com from anywhere. Otherwise someone who has nothing to do with the subscribing organization could walk into the building, set up their user account in EMBASE.com and walk away again and have free access to EMBASE.com. The idea is that the subscription key is managed by the librarian who should keep track of who (s)he gives the subscription key to. When someone leaves the organization, Elsevier should be informed (please click here for to the customer support contact details) so that we can cancel access to EMBASE.com for these people.
